1. About this Campaign

(1) By submitting a love letter through this website, you accept these Terms and Conditions.

(2) The Australian Conservation Foundation Incorporated (ABN 22 007 498 482) ("ACF" or "we") operates the Love Letters to Nature campaign at loveletters.acf.org.au.

(3) Love Letters to Nature is a participatory campaign celebrating Australia's wild places. It is not a competition and there are no prizes.

2. How to Participate

(4) To submit a love letter, you must:

(a) Complete the online form at loveletters.acf.org.au/write
(b) Select a location in Australia for your letter
(c) Provide a title for your letter
(d) Write your letter (minimum 50 words, maximum 3000 words)
(e) Optionally, upload a photo as your letter or part of your letter (maximum 5MB, JPG or PNG format)
(f) Provide your first name, last name, and email address
(g) Choose how you'd like to sign your letter (first name, nickname, or initials)

(5) You may submit multiple letters to different locations.

3. Content Guidelines

(6) All letters must:

(a) Relate to a place in Australia
(b) Not infringe on anyone else's intellectual property rights

(7) Letters must not contain:

(a) Offensive, defamatory, or discriminatory language
(b) Personal attacks on individuals or organisations
(c) Commercial advertising or spam
(d) Content that violates any law
(e) Statements which seek to influence the way people vote
(f) Statements of a politically partisan nature

(8) Photos must:

(a) Be taken by you or used with permission
(b) Not include identifiable people without their consent
(c) Be appropriate for all audiences

(9) We use AI content moderation technology to review submissions. We reserve the right to reject or remove any submission that violates these guidelines.

4. Publication and Moderation

(10)By submitting your letter, you agree that ACF may publish it on our website and social media channels.Your letter will appear on our interactive map along with your chosen signature name and location.

(11) All letters are subject to moderation before publication.

(12) We reserve the right to reject any submission without providing a reason. Common reasons for rejection include:

(a) Violation of content guidelines
(b) Inappropriate or offensive material
(c) Spam or commercial content
(d) Duplicate submissions

(13) You may request removal of your letter at any time by contacting us at contact@loveletters.acf.org.au.

5. Intellectual Property and Usage Rights

(14) You retain ownership of your letter and any photos you submit.

(15)By submitting your letter, you grant ACF an unrestricted, irrevocable, worldwide, royalty-free license to:

(a) Publish your letter and photo on our website and map
(b) Share your letter on our social media channels
(c) Use your letter in promotional materials, reports, and publications
(d) Modify your submission by cropping photos or light editing for clarity
(e) Create downloadable versions of your letter

(16) We will use reasonable efforts to attribute your letter to your chosen signature name.

(17) You confirm that your submission is original and does not infringe on anyone else's intellectual property rights.

6. Personal Information and Privacy

(18) We collect your email address, first name, and last name to:

(a) Provide you with a link to your published letter
(b) Contact you about the campaign if necessary
(c) Send you updates about ACF's conservation work (if you opt in)

(19) Marketing opt-in: The "Send me ACF updates" checkbox on the submission form is for receiving our campaign updates. You can opt out at any time using the unsubscribe link in our emails.

(20) Your email address and full name are kept private and will not be displayed publicly. Only your chosen signature name will appear with your letter.

(21) We handle your personal information in accordance with our Privacy Policy at acf.org.au/privacy.

(22) We will not share your personal information with third parties except:

(a) As required by law
(b) If you specifically consent

7. Technical Issues and Liability

(23) We are not responsible for:

(a) Lost, misdirected, or delayed letters
(b) Technical problems with internet connections or website functionality
(c) Corrupted or incomplete letters
(d) Any issues with your device or browser

(24) To the extent permitted by law, we are not liable for any loss, damage, or injury resulting from this activity and your participation in it.

(25) If technical issues prevent the campaign from running as planned, we reserve the right to modify, suspend, or cancel it.

8. Our Rights

(26) We reserve the right to:

(b) Remove published letters from the website for any reason
(c) Modify these Terms and Conditions at any time
(d) Cancel or suspend the campaign

(27) Our decisions regarding submissions are final. We will not enter into correspondence about rejected submissions.

9. Your Responsibilities

(28) You are responsible for:

(a) Ensuring your letter is appropriate and complies with these terms
(b) Any costs associated with participating (internet access, etc.)
(c) Ensuring you have permission to use any photos you submit
(d) Providing accurate contact information

(29) You warrant that:

(a) You have the legal right to submit your letter and photo
(b) Your submission does not violate anyone else's rights
(c) All information you provide is true and accurate
